Privacy policy
Last updated 27 August 2026 · Version 1.0
This policy explains what personal information CLYNCO collects, why we collect it, what we do with it and what rights you have over it. It covers this website, enquiries you make to us, and our work for clients.
1 Who we are
CLYNCO is a trading name of Tessma Facilities Ltd, a company registered in England & Wales (Company No. 14965952). We are the data controller for the information described in this policy.
We have not appointed a statutory Data Protection Officer, as we are not required to. A named director is accountable for data protection and is the person who will handle any request or complaint you make.
2 Information we collect
When you enquire or request a quote
- Your name, phone number, email address and postcode
- The service you are interested in and any details you choose to give us about your property or site
- The content of your messages, emails and calls with us
When you become a client
- Site address and access details, including key-holding and alarm information where we hold keys
- Named contacts at your organisation and their business contact details
- Billing details, purchase order references and payment records
- Service records — site checklists, audit reports, photographs of completed work and quality scores
Audit photographs record the condition of the areas we clean. We instruct our teams not to photograph individuals, personal possessions, screens, documents or patient-facing areas. If a photograph does capture something it should not, tell us and we will delete it.
When you use this website
- IP address, browser type, device type and operating system
- Pages viewed, time on page, referring website and the search term or advert that brought you here
- Inputs to our price estimate tool. These are used to display a figure to you in your own browser. They are not stored against your identity unless you go on to submit an enquiry.
Analytics and advertising information is only collected where you have given consent through our cookie banner. See the cookie policy.
Job applicants
If you apply to work with us we collect your application, references, right-to-work documents and, where the role requires it, DBS check results. Right-to-work checks are a legal obligation under the Immigration, Asylum and Nationality Act 2006. We hold unsuccessful application records for 6 months from the date of the decision and then delete them.
3 Why we use it, and our lawful basis
| What we use it for | Lawful basis (UK GDPR Art. 6) |
|---|---|
| Responding to your enquiry and preparing a quote | Steps taken at your request before entering a contract — Art. 6(1)(b) |
| Delivering cleaning services, scheduling teams, managing your account | Performance of a contract — Art. 6(1)(b) |
| Invoicing, credit control and keeping accounting records | Legal obligation — Art. 6(1)(c) |
| Quality audits, checklists and photographic evidence of work done | Legitimate interests — proving the service standard we contracted to deliver — Art. 6(1)(f) |
| Following up an enquiry that did not proceed, and marketing to business contacts | Legitimate interests — Art. 6(1)(f), subject to your right to object at any time |
| Marketing emails to individuals and households | Consent, or the soft opt-in where you are an existing customer — Art. 6(1)(a) and PECR reg. 22 |
| Analytics and advertising cookies | Consent — Art. 6(1)(a) and PECR reg. 6 |
| Right-to-work and DBS checks for staff | Legal obligation, and employment rights and obligations — Art. 6(1)(c) and Art. 9(2)(b) where relevant |
| Health and safety, insurance and defending legal claims | Legal obligation and legitimate interests — Art. 6(1)(c) and 6(1)(f) |
Where we rely on legitimate interests, we have considered whether our interest is outweighed by your rights and concluded that it is not. You can ask us for that assessment, and you can object to the processing at any time.
4 Advertising and measurement
We advertise on Google. If you arrive here from one of our adverts and you have accepted advertising cookies, Google may record that visit and any enquiry you make, so that we can measure which adverts work.
We also use enhanced conversions. Where you have consented, the email address or phone number you give us in an enquiry form is converted into an irreversible coded value — a hash — inside your browser before it is sent to Google. Google uses it only to match your enquiry to an advert click, and then discards it. Your actual email address and phone number are not sent to Google, and this matching does not build a marketing profile of you with us.
If you would rather this did not happen, decline advertising cookies in the banner, or contact us by phone or email instead of using the form. Declining does not affect your quote in any way.
5 Who we share it with
We do not sell your personal information, and we do not pass enquiry details to other cleaning companies or lead-generation services. We share information with:
- Our cleaning teams and supervisors — site address, access arrangements and your specification, so the work can be done
- Suppliers acting on our written instructions, in these categories: website hosting and content delivery; business email, calendar and document storage; our customer and job scheduling system; accounting and invoicing software; payment processing; telephony and call handling; and web analytics and advertising platforms, which for us means Google
- Professional advisers — accountants, insurers and solicitors, where needed
- Authorities and regulators — where we are legally required to disclose
- A buyer — if the business or part of it is sold or transferred
Every supplier acting on our behalf is bound by a written contract that limits them to our instructions and requires appropriate security. If you would like the current list of the specific suppliers we use, email us and we will send it.
6 Transfers outside the UK
Some of our suppliers, including Google, process data outside the UK. Where that happens we rely on UK adequacy regulations, or on the International Data Transfer Addendum to the EU Standard Contractual Clauses, together with any additional safeguards required. You can ask us for details of the safeguards in place for a specific supplier.
7 How long we keep it
| Record | Retention period | Why |
|---|---|---|
| Enquiries that did not become work | 24 months from last contact | Typical re-tender and renewal cycle |
| Client contracts, specifications and correspondence | 6 years after the contract ends | Limitation Act 1980 |
| Invoices and accounting records | 6 years after the end of the relevant financial year | Companies Act 2006 and HMRC |
| Site audit reports and photographs | 24 months, unless needed for a live dispute | Evidence of the standard delivered |
| Key-holding and access records | Duration of the contract, deleted within 30 days of it ending | Security |
| Unsuccessful job applications | 6 months from the decision | Discrimination claim window |
| Employee records | 6 years after employment ends | Statutory and tax requirements |
| Marketing contact records | Until you unsubscribe or object, then a suppression record only | So we do not contact you again by mistake |
| Website analytics | 14 months | Platform default retention |
When a period ends we delete the information, or anonymise it so it can no longer identify anyone.
8 How we protect it
- Access is limited to staff who need it to do their job
- Accounts are protected by multi-factor authentication
- Data in transit is encrypted; this website is served over HTTPS
- Key-holding follows a documented procedure with a full audit trail
- Staff are trained on confidentiality and data protection at induction
- We have a procedure for detecting and reporting personal data breaches, and will notify the ICO within 72 hours where the breach meets the reporting threshold
9 Your rights
Under UK data protection law you have the right to:
- Access — get a copy of the personal data we hold about you
- Rectification — have inaccurate data corrected
- Erasure — have data deleted, where we have no continuing lawful reason to keep it
- Restriction — ask us to pause processing while a concern is resolved
- Portability — receive data you gave us in a machine-readable format
- Object — object to processing based on legitimate interests, and to direct marketing at any time, which we will always honour
- Withdraw consent — where we rely on consent, without affecting anything done before you withdrew it
Email contactus@clynco.co.uk with "Data protection request" in the subject line. We respond within one month, and we do not charge for this. We may ask you to confirm your identity first.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at any time.

10 Children
This website is aimed at adults arranging cleaning services. We do not knowingly collect information from children. Where we clean schools and nurseries, our staff work under the setting's own safeguarding policy and do not collect information about pupils.
11 Changes
We review this policy at least once a year. The version number and date at the top show when it last changed. Material changes affecting existing clients will be notified directly.
Cookie policy
Last updated 27 August 2026 · Version 1.0
Cookies are small files stored on your device when you visit a website. Similar technologies — pixels, local storage and tags — do much the same job. This policy covers all of them.
1 Your choice
We only set strictly necessary cookies automatically. Everything else — analytics and advertising — is set only after you accept it in the banner shown on your first visit. You can accept all, reject all, or choose by category. Rejecting is as easy as accepting, and rejecting does not restrict any part of this website.
To change your mind later, use the link, also available in the site footer.
2 Categories we use
Strictly necessary — always on
Needed for the site to work and to remember your cookie choice. These do not require consent, because you cannot use the site without them.

3 Consent Mode
We use Google Consent Mode. Before you make a choice, Google's tags are instructed not to store or read cookies, and not to use your data for advertising personalisation. If you accept, those instructions are updated. If you reject, Google receives only anonymous, aggregated signals that a visit occurred, with no identifiers attached to you.
4 Managing cookies in your browser
You can also block or delete cookies in your browser settings. Blocking all cookies will stop parts of most websites working properly, including this one's ability to remember that you declined. Guidance for each major browser is in its own help pages, and general advice is at ico.org.uk.
5 Do Not Track
There is no agreed standard for how websites should respond to Do Not Track signals, so this site does not respond to them. Use the cookie banner instead — it is the setting that actually controls what we do.
Website terms of use
Last updated 27 August 2026 · Version 1.0
These terms govern your use of clynco.co.uk. By using the site you accept them. They are not the terms on which we supply cleaning services — those are set out in the written agreement we issue with your quote.
1 Who runs this site
clynco.co.uk is operated by Tessma Facilities Ltd t/a CLYNCO, Company No. 14965952, registered in England & Wales. Contact details are in the privacy policy.
2 Using the site
You may view, download and print pages for your own use or for the internal use of your organisation. You may not copy our content for commercial purposes, systematically extract data from the site, introduce anything malicious, or attempt to gain unauthorised access to any part of it.
3 The price estimate tool
The estimate tool gives an indicative range based on typical UK rates. It is not a quote, not an offer, and not binding on either of us. Your actual price is confirmed in writing after a free survey, and it is that written figure — not the estimate — that forms part of any agreement between us.
4 Service commitments on this site
Response times, coverage and service standards described on this site reflect how we normally operate and what we write into our agreements. The commitments that bind us in your particular case are the ones in your signed specification and agreement.
5 Accuracy
We take care to keep the site accurate and current, but we do not warrant that it is free from error or always available. We may change or withdraw content at any time without notice.
6 Intellectual property
The CLYNCO name and logo, and the text, images, layout and design of this site, are owned by or licensed to Tessma Facilities Ltd and are protected by copyright and trade mark law. Nothing on this site grants you a licence to use them.
7 Links
Links to other websites are provided for convenience. We do not control them and are not responsible for their content or their privacy practices. You may link to our home page fairly, and without implying an endorsement or association that does not exist.
8 Liability
Nothing in these terms limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, we exclude liability for any loss arising from your use of, or inability to use, this website, and for any reliance placed on its content. If you are a consumer, your statutory rights are unaffected.
9 Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you are a consumer resident elsewhere in the UK, you may also bring proceedings in your own courts.
Modern slavery statement
Financial year ending 31 March 2026 · Published voluntarily
Tessma Facilities Ltd t/a CLYNCO is below the £36 million turnover threshold at which section 54 of the Modern Slavery Act 2015 requires a statement. We publish one anyway, because cleaning is a sector where labour exploitation is a real risk, and because our clients — particularly in education, healthcare and the public sector — are entitled to ask what we do about it.
1 Our business
We provide commercial and domestic cleaning services from a base in Manchester, with coverage across the UK. Our supply chain consists principally of directly employed cleaning staff, suppliers of cleaning products and equipment, and occasional specialist subcontractors for high-level access, extract cleaning and waste disposal.
2 Where the risk sits
The highest risk in our sector is in low-paid subcontracted labour and in agency supply. We have assessed our own risk as concentrated in two places: temporary cover staff, and specialist subcontractors engaged for one-off works.
3 What we do about it
- All operatives are directly employed or engaged under contracts we hold, with right-to-work checks completed before the first shift
- Everyone is paid at or above the statutory minimum, into a bank account in their own name, with a payslip
- We do not use unregulated labour providers, and we do not accept staff supplied by third parties without our own checks
- Subcontractors confirm in writing that they comply with the Modern Slavery Act and pay their own staff lawfully
- Supervisors are briefed on the indicators of exploitation — controlled documents, shared accommodation arranged by a third party, wages paid into someone else's account, or someone else always speaking for the worker
- Concerns can be raised confidentially to contactus@clynco.co.uk and are escalated to a director. Nobody is penalised for raising one.
4 Training
Modern slavery awareness is covered at induction for all staff, and refreshed annually for supervisors and anyone involved in engaging subcontractors.
5 Reporting period
No instances of modern slavery were identified in our business or supply chain during the reporting period. This statement is reviewed annually and approved by the board of Tessma Facilities Ltd.
